Check the file and the limit before uploading
Find the PDF in Files, Downloads, cloud storage or the app that received it, and note its current size. Then read the rejection message or upload instructions again. A 500KB portal does not benefit from a 100KB document, and the smaller target can make scans noticeably softer. This site accepts PDF files only and has a 50 MB upload cap. It does not convert photographs, Word documents or other formats into PDF. Save an untouched original under a clear name before starting, especially if the document contains signatures, stamps or evidence that would be difficult to recreate.
The no-install browser method
Open the compressor in the phone's normal browser, choose the PDF, select the largest target that fits the recipient's rule, and start compression. Leave the tab open while the upload and server work complete. The result screen shows the original and output sizes before you download, so check that the target was actually met rather than assuming the selected button guarantees it. Save the compressed copy with a different name. On both iPhone and Android, the downloaded file normally appears through the browser's download control and in a Downloads location, although a cloud provider may present its own save sheet.
What the measured timing feels like on a phone
In our live server measurements, compression is typically 1–3 seconds once the file has arrived. The first request after a quiet period takes longer while the server wakes; our measured cold request was approximately 12 seconds. Upload time sits outside that server measurement and depends on the file and connection, so a large PDF over mobile data can spend longer transferring than compressing. Keep the browser in the foreground if possible and wait for the result state rather than tapping the action repeatedly. If the connection drops, return to the original and begin a fresh attempt instead of relying on a partial download.
Using iPhone Files, Safari and Preview
Files is mainly where you locate the source and confirm the downloaded copy; it is not, by itself, a precise target-size compressor. Safari can upload a PDF from Files without an extra app and save the result back through the download or share controls. On iPhones that include Apple's Preview app, Export can offer a file-size slider, which is useful for a quick local reduction. It still does not let you request an exact portal target such as 100KB or 500KB. The print interface can create or share PDFs from supported content, but it also lacks dependable target-size control. Use those built-in routes when an approximate reduction is enough, then inspect the saved size.
Using Android Files, Chrome and the print dialog
On Android, the browser file chooser can open a PDF from Downloads, Files by Google, device storage or a connected cloud provider. After compression, use Chrome's download notification or the Files app to find the new copy. Android's print workflow can expose “Save as PDF” for content in supporting apps, including pages opened in Chrome. That is useful for creating a PDF, but it is not a consistent compressor for an existing PDF and usually offers page and layout controls rather than a precise output-size target. If the receiving portal names a hard cap, confirm the resulting file size instead of treating Save as PDF as proof that it is smaller.
Choose a target without sacrificing detail unnecessarily
Start with the maximum the form accepts. For a 2MB limit, select 2MB; for a 500KB limit, select 500KB. Only step down when the actual result remains above the cap. A target is a ceiling, and the compressor may finish well below it: our purpose-built 5.22 MB (5,469,469 B) scanned-style sample returned 299 KB (306,377 B) at 500KB, 1MB and 2MB. That floor behaviour means a larger selection does not always produce a larger file. Read the output size, then open the pages. The target label is a request, while the downloaded document is the evidence.
Check the result on the same phone
Open the downloaded PDF before returning to the portal. Confirm the page count and order, then zoom into the smallest text, signatures, reference numbers, stamps and photographs. Scroll to the final page; a quick glance at the first is not enough. If the PDF contains selectable text, make sure it remains selectable where that matters. Also check the file size in Files or the Android file details. A completed download above the requested target can be a valid best effort: in our July test, the 3.84 MB (4,023,756 B) dense-text sample stopped at 135 KB (138,689 B) when asked for 100KB. Do not upload it to a strict 100KB field and hope.
Built-in phone options are useful but approximate
Phone tools are good at creating a fresh PDF, sharing pages, cropping scans and making an approximate smaller copy. They are less reliable when you need a named byte ceiling. Re-saving through a print dialog may flatten annotations, links, form fields or selectable text, depending on the source app. A size slider may make the file smaller without telling you whether it will land below the portal's rule. Keep the original, use one controlled conversion, and compare the result. If a built-in option does not expose the final size until after saving, that is not a problem; it simply means size checking is a separate required step.
Privacy matters more than convenience for some documents
A browser compressor uploads the PDF for server-side processing. Do not use an online route for material you are not authorised to process, and follow your employer's or organisation's approved handling rules for confidential records. An offline desktop application may be the correct choice for sensitive files even if it takes longer to reach a computer. The same caution applies to shared phones: remove temporary copies from the Downloads folder only when you are certain the required original and submitted version are safely stored. Compression changes size, not confidentiality; the smaller file contains the same underlying information.
When a desktop is worth the detour
Move to a desktop when the phone screen makes quality checking uncertain, the document needs pages removed or reordered, the source application is available only there, or the file should stay offline. A desktop also makes it easier to compare two PDFs side by side and inspect a long bundle before submission. If a strict target remains unreachable, you may need to split pages with the recipient's permission, export again from the source, or rescan paper in greyscale at a lower readable resolution. Those are document changes rather than simple compression, and a larger screen reduces the chance of dropping a page or overlooking damaged fine print.
A measured example of what to expect
The July scanned-style test document was built to behave like two rasterised pages. From 5.22 MB (5,469,469 B), the live tool produced 93 KB (94,894 B) at 100KB and 299 KB (306,377 B) at 500KB. The already-optimised 736 B control passed through unchanged. These examples show both ends of phone use: a heavy scan can transfer for longer but offers substantial savings, while a tiny file needs no manufactured optimisation. Your result depends on the PDF contents, not on whether the request came from a phone or desktop, because both use the same server compression path.
A short phone checklist
Keep the original. Confirm that the source is a PDF no larger than 50 MB. Read the recipient's limit and choose that target rather than the smallest one available. Leave the browser open through upload and processing. Compare the reported input and output sizes, download under a new name, and inspect every page. If a 100KB attempt returns a best effort above 100KB, change the source or ask about another submission route rather than repeatedly compressing the downloaded copy. Those checks take longer to describe than to perform, and they prevent most deadline mistakes.
